The terms and conditions below are the basis of an agreement between you as a customer, and Albatros Arctic Circle (AAC) as a travel- and excursion agency. The following terms and conditions is accepted by you as a customer with any booking and purchase of accommodations and excursions with AAC.

1. Registration and booking 

The agreement between customer and AAC is binding once the excursion is paid for when booked, and the customer has received a confirmation of the booked. 
The informed names in the booking must be in line with the names of the customers' passports. 
The age of the customer must be in line with the age at the time of the booked excursion, and not time of the purchase. If the age is booked incorrectly, for instance to receive children discount, it must be corrected before the excursion begins or the rooms can be assigned to the customers. 

2. Terms of payment 

The total price of the booking must be paid when creating the booking, unless otherwise agreed upon via email. 
On some excursions, there is a discounted price for children at the age of 2-11 years old, and children of 0-1 y.o will be free of charge. If there is a discounted price for children and the possibility of booking free of charge to children from 0-1 y.o, it will be an option on the booking site. If it is not an option when booking, it means there is no discount for children. 
AAC does not offer discount when booking multiple excursions or for larger groups.

3. Price changes 

In case of increase prices on fuel, transportation, taxes, toll fees or other fees, our already established prices can be adjusted. We change our pricelists continuously from year to year, and accommodation and excursions will always be sold at the current price.
The same excursion can therefore in rare cases be sold at different prices, since we do not let price regulations affect bookings made before the price regulation. 

4. Cancellation terms for excursions 

Bookings of 1-7 participants can be cancelled free of charge up to 3 days (72 hours) prior to tour start. All cancellations must be made in writing to ilulissat@aac.gl for excursions in Ilulissat/Oqaatsut, and to kangerlussuaq@aac.gl for excursions in Kangerlussuaq to be valid. Cancellations made less than 3 days (72 hours) prior to tour start and no-shows will be cancelled with a cancellation fee of the total price of the excursion. 
This also applies for downscaling the number of participants and in case you wish to change the departure day of your excursion, it must be no later than 3 days prior to the tour start. 

Bookings of 8+ participants can be cancelled free of charge up 30 days prior to tour start. All cancellations must be made in writing to ilulissat@aac.gl for excursions in Ilulissat/Oqaatsut, and to kangerlussuaq@aac.gl for excursions in Kangerlussuaq to be valid. Cancellations made less than 30 days prior to tour start and no-shows will be cancelled with a cancellation fee of the total price of the excursion. 
This also applies for downscaling the number of participants and in case you wish to change the departure day of your excursion, it must be no later than 30 days prior to the tour start. 

Please be aware, that in case of refund from AAC, AAC only refunds the total price of the excursion, and not any creditcard fees that might be charged from the guests' account when purchasing the excursion. 

4.1 Cancellation & changes in case of delays with public transportation

If your flight or boat transfer to Ilulissat is delayed in a degree that it interferes with a booked excursion with AAC, we ask  you to inform AAC as soon as possible (ilulissat@aac.gl for Ilulissat, kangerlussuaq@aac.gl for Kangerlussuaq). We will each time do our very best to reschedule the excursion if possible, but we set no guarantee that it is possible. If we are not able to reschedule the excursion, AAC does not offer a refund for the missed excursions, and we urge you to have a travel insurance. This also applies for guests from any cruise ships scheduled to visit Ilulissat. 

4.2 Cancellations made by AAC 

AAC reserves the right to cancel excursions in case of: not enough participants, problematic weather conditions (too much ice in the fjords, slippery roads, lack of visibility or too much wind), technical problems on vehicles (busses, snowmobiles, boats etc.) to a degree that it is not safe to do the excursion. It is up to AAC staff, and AAC staff alone, to decide whether or not an excursion is able to be completed or not. 
If AAC has to cancel excursions due to any of the above, we will try and reschedule all affected participants, but sets no guarantee that this is possible. If it is not possible to reschedule the participants, the full price of the cancelled excursion will be refunded to the participants. 

If you have purchased more than one excursion with AAC, and one rescheduled excursion due to the above is affecting other excursions planned and booked with AAC, AAC wil try to reschedule the entire program for the guests free of charge. AAC however gives no guarantees that this is possible. 
AAC does not account for excursions booked with other operators if program changes affects these. 

Please be aware, that in case of refund from AAC, AAC only refunds the total price of the excursion, and not any creditcard fees that might be charged from the guests' account when purchasing the excursion. 

5. Shortened excursions 

Any type of excursion can be shortened due to weather- and ice conditions that compromises the safety of an excursion. It is the AAC guide/driver/musher/captains decision alone whether or not an excursion needs to be shortened due to weather- and ice conditions that compromise the safety. If the excursion is shortened with more than 25% of the total lenght of the excursion, AAC will offer a refund according to the missed part of the excursion. 

6. Minimum of participants 

Some excursions have a minimum of participants. This number will be presented in the information box by each excursion. If the number of minimum participants is no fulfilled, AAC reserves the right to cancel the excursion. This can happen until 1 hour prior to the excursion start. In case of this, AAC will try to suggest an alternative excursion departure if possible, or refund 100% of the price of the excursion. 

7. Time changes in excursions 

AAC reserves the right to change the departure time of excursions in case of delays on other excursions, sickness between staff, weather conditions, or technical issues. If the changed departure is more than 2 hours from the original departure time, and it is not doable for our guests, AAC will refund 100% of the price of the excursion to the guest. A time change of less than 2 hours will not be refunded. 

8. Transfer of tickets 

Transferring tickets to friends/family must be approved by AAC ilulissat@aac.gl for Ilulissat, and kangerlussuaq@aac.gl for Kangerlussuaq) in writing beforehand to be valid. AAC reserves the right to decline transfer of tickets. 

9. Cancellation terms of accommodation 

Bookings for 1–3 rooms can be cancelled free of charge up to 1 day (24 hours) before check-in (2:00 p.m. on the day of arrival). All cancellations must be made in writing to hhf@aac.gl for Hotel Hvide Falk and to kangerlussuaq@aac.gl for Hotel Kangerlussuaq, Old Camp, and Polar Lodge in order to be valid.

Please note that in the event of a refund from AAC, only the price of the excursion itself will be refunded — any credit card fees that may have been charged to the guest’s account at the time of purchase will not be refunded.

10. Insurance

AAC has all legally required insurances. These insurances do not apply to guests'/participants' personal belongings. If private belongings of participants/guests are damaged or lost on excursions, at restaurants, or accommodation sites, the guests/participants must contact their own insurance company, and AAC is not resposible for losses or damages to personal belongings. 

11. Mobility and physical abilities 

It will be described in each excursion if there are specific demands to physical ability, health and/or mobility. A main rule is, that all participants on excursions must be able to help themselves and not be depending on AAC staff. Wheelchair users and mobility imparired gusets with a companion are more than welcome on our excursions, but we recommend that you contact AAC to receive the best advise on which excursions are doable and which are not. AAC reserves the right to reject guests according to our assessment on whether the guest is able to complete the excursion or not within the required safety. 

12. Waiver of liability 

Excursions with AAC is actitivites connected to certain risks, including, but not limited to, nature disasters, civilian unrest, dangerous roads and paths, off road activities, accommodation, vehicles, boats, and other forms of transportation; drowning, sprains, exhausting, bruises or broken bones, insect bites, altitude sickness, hypotermia and frost bites, non-sanitary food or water, accidents, disease without access to fast evacuation or access to medical assistance. 
The above mentioned dangers and risks are only examples, and other dangers and risks can be related to activities with AAC. 
As participant you personally take on all risks, whether the risks are foreseen or unforeseen, known or unknown to do harm, including all types of damage or personal damage that might happen during the activities. 

13. Complaints 

If you have a complaint, you must present it during the excursion so AAC has a chance to improve the conditions and try to meet your complain. You also have to adress your complaint to AAC staff after the excursion. If the complaints target can't be met here, you must send a complain in writing (ilulissat@aac.gl or kangerlussuaq@aac.gl) to AAC no later than 3 weeks after your return from Ilulissat or Kangerlussuaq. 
All lawsuits against AAC will be handled within the Greenlandic judiciary. 

14. Use of personal information 

When reserving an excursion with AAC, we collect following information on all participants: name, gender, and elected excursions, plus the following information in relation to payment: adress, email adress, phone number, and payment method. If you purchase a boat excursion, your names will be delivered to the crew onboard the boat. If you purchase an excursion that is provided by an external partner, the external partner will receive your names. 

15. Other conditions 

Errors in print on website, brochures and other sales material can happen. Any demand against AAC must be decided in Greenland's judiciary.
